Cancellation & refunds

What to do when a request changes, how to ask us to stop work and how we review charges or a possible refund.

A practical starting point

If work has not started and no third-party costs have been incurred, you are eligible for a full refund. Once work has started, completed work and non-refundable third-party costs are deducted, and the remaining paid balance is refunded.

How to request a cancellation

Contact Affid through client support or the support email below as soon as you know the work is no longer needed. State that you are requesting cancellation, rather than leaving the change implied in a general question. For a request involving several tasks or recipients, identify exactly which work should stop.

A cancellation message is a request for the team to act. Work may already be assigned, in progress or completed when the message is received. Do not assume it has stopped until the team confirms the status and what can be cancelled. Closing the portal or leaving a checkout page does not cancel an assignment already arranged.

  • Your name and the email address associated with the request.
  • The request or matter reference, if available.
  • The service, recipient or task you want cancelled, and any remaining work that should continue.
  • Any immediate deadline or change the team needs to understand.

First, establish what has happened

The team reviews the request status, any confirmed payment, the scope agreed and the work or third-party arrangements already undertaken. A draft, a request awaiting review and a paid assignment may be at different stages. The relevant stage helps determine what can still be changed and which charges need review.

If you are unsure whether a payment completed, provide the transaction reference or confirmation you have. A payment-processing screen or an email draft alone is not evidence that money was received or that work was cancelled.

How the refundable amount is calculated

When work has not started and no third-party costs have been incurred, you are eligible for a full refund of the amount paid for the cancelled work. Once work has started, Affid deducts the value of work already completed and any non-refundable third-party costs, then refunds the remaining paid balance.

Completed work is assessed against the confirmed scope and the actual record. It may include attempts already made, on-site time already worked, or document preparation and handling completed as part of the agreed assignment. Court fees, witness fees and other third-party payments are reviewed to establish which amounts cannot be recovered.

The team provides an itemized explanation of the completed work, any non-refundable third-party costs and the remaining amount to be refunded. If third-party costs were incurred before on-site work started, ask the team to identify those amounts and their refundability in the review.

An unsuccessful outcome or changed instructions

A completed attempt may not result in service, a court may return a filing, or requested records may be unavailable. Those outcomes do not by themselves establish that the charged work was not performed. If you believe the work differed from the confirmed instructions, identify the particular issue so the team can review the record and charges.

An address change, a replacement packet, an additional recipient or a new visit can require different work. Ask the team to confirm the revised scope, timing and fees before relying on the new arrangement. Do not assume a change has automatically cancelled the original assignment or created a replacement one.

Duplicate or unexpected charges

If a charge appears duplicated or differs from the amount you expected, contact the team with the request reference, date, amount and the issue you want checked. Distinguish a website estimate, a confirmed service amount and a posted payment when explaining the difference.

Do not send a full payment-card number, account password or sign-in link. If payment is still processing, ask the team to check its status before starting another payment for the same request. The help center and support conversation do not themselves issue refunds or alter payment records.

When a refund or adjustment is approved

The team confirms the amount, the reason for the adjustment and the payment method or next step applicable to the transaction. Keep that confirmation with the request record. If more information is needed to complete the review, the team will identify it.

The time a payment provider or bank takes to reflect an approved refund may differ from the time Affid confirms the adjustment. Ask for the status or reference if the expected credit is unclear. The cancellation and refund rules above do not limit rights available under applicable law.
